Service refers to the NoteAI iOS application.

User Content means content you provide to the Service, such as audio recordings, transcripts, and text.
Service Provider means a third party that processes data on our behalf to support or deliver features of the Service.
Data we collect & process
- Audio recordings you upload or record (for transcription).
- Transcripts generated from audio.
- Text you input (notes, prompts, and content used to generate summaries or chat responses).
- Imported content identifiers (e.g., a YouTube link you provide to request a transcript).
- Email address (if you create an account or contact support).
- Internal user/account identifiers (to keep you signed in and associate data with your account).
- Subscription status/entitlements (to enable premium features).
- Device information (OS version, device model), app version, timestamps.
- Crash logs and performance data for reliability and troubleshooting.
- IP address may be processed by our servers/service providers when you use online features.
AI processing & consent (third‑party AI services)
NoteAI uses third-party AI service providers to deliver certain features such as speech-to-text transcription and AI-generated summaries.
What data is sent
- Transcription: audio recordings (and technical metadata needed to complete transcription).
- Summaries / custom summaries: transcript text and/or text you provide for summarization.
Who the data is sent to
- AssemblyAI – speech-to-text transcription
- OpenAI – text generation / summarization
Permission
Before the Service sends your content to third-party AI providers, we present an in‑app disclosure and request your permission. If you do not consent, AI processing features will not be used.
Purpose limitation
We send your content to AI providers only to perform the requested feature and return results to the app. We do not sell your user content.
How we use data
- Provide and maintain the Service (transcription, summaries, and related features).
- Operate accounts and keep users signed in (where applicable).
- Manage subscriptions and entitlement validation.
- Provide support and respond to requests.
- Improve reliability, security, and prevent abuse/fraud.
Sharing & service providers
We may share data with Service Providers who help us operate the Service, including:
- AI processing providers (as described above).
- Cloud hosting / backend infrastructure (to store and deliver app data securely).
- Subscription management (to validate purchases and entitlement status).
- Analytics / diagnostics (to measure performance and fix crashes, if enabled).
Retention
We retain Personal Data only as long as necessary for the purposes described in this Policy, including providing the Service, complying with legal obligations, resolving disputes, and enforcing agreements.
- Account information: retained while your account is active and for a limited period after closure if needed.
- User content: retained as needed to provide features and store your notes/transcripts, unless you delete it or request deletion.
- Usage/diagnostic data: retained for a limited period for security and troubleshooting.
International transfers
Your information may be processed in countries other than your own. Where required by applicable law, we implement safeguards for international transfers of Personal Data.
Your choices
- You can decline AI consent in the app; without consent, AI processing features remain disabled.
- You may request access, correction, or deletion by contacting us.
- You may delete content within the app where those controls are available.
Security
We use commercially reasonable safeguards designed to protect your information. However, no method of transmission over the Internet or electronic storage is 100% secure.
Children’s privacy
The Service is not directed to children under 16 and we do not knowingly collect personal information from children under 16. If you believe a child has provided Personal Data, contact us so we can take appropriate action.
Changes
We may update this Privacy Policy from time to time. We will post the updated version on this page and update the “Last updated” date.
